Cancellation & Refund Policy
Effective from June 2025
At Oakwood Travels, we value transparency and customer satisfaction. This policy explains how cancellations and refunds work for any bookings made with us from June 2025 onward.

Refund Timelines
- If your booking qualifies for a refund, it will be processed within 90 working days from the date of cancellation or once we receive confirmation from our partners — whichever takes longer.
- If the cancellation happens during the trip , the 90-day timeline starts either on the date of return or when the supplier confirms the cancellation, whichever comes later.

Please note:
Refund amounts can vary due to international exchange rates, approval timelines from partners, or the actual payments received. If there are any changes in the expected refund, your account manager will update you.

Flight Bookings
- Non-Refundable Flights: These cannot be cancelled or refunded. Please check your final travel voucher.
- Refundable Flights: Refunds will be processed based on the cancellation policy shared in your itinerary.

Important Points:
- Oakwood Travels is not liable for airline delays, cancellations, or issues. Refunds for such events must be handled directly with the airline.
- Please ensure your passport is valid for at least 12 months and is in good condition. We cannot offer refunds for denied boarding due to passport issues.
- Arrive at the airport 3 hours before departure . If airport transfers are not booked with us and you miss your flight due to delay, no refund will be applicable.
- If transfers are arranged by us but delays happen due to regional issues, we are not responsible for missed flights.
- Baggage allowance will be shared in your final documents. Any extra baggage fees must be paid at check-in.
- Some low-cost airlines (e.g., Ryanair, Vueling) require web check-in . If not completed, extra charges may apply, and Oakwood Travels will not be responsible.
- Meal requests can be submitted, but are subject to availability by the airline.

Hotel Bookings
- Non-Refundable Hotels: No refund will be processed if cancelled.
- Refundable Hotels: Refunds will follow the cancellation policy mentioned in your final itinerary.

Please remember:
- We choose quality hotels, but we’re not responsible for hotel staff behavior, hygiene, or property management.
- Any upgrades or add-on services requested during the trip must be paid directly by you.
- If you cancel a hotel during the trip and book another, full cancellation charges will apply for the original hotel.
- Early check-in or late check-out is based on hotel availability. Refunds won't be given if it's not available.

Activities & Experiences
- Non-Refundable Activities: No refund will be given once booked.
- Refundable Activities: Refunds will follow the cancellation terms in your itinerary and may vary due to exchange rates.

Visa & Travel Insurance
- We help you with visa documentation and application, but final approval is at the discretion of the consulate.
- Visa fees are non-refundable if the application is rejected or delayed.
- Any last-minute changes in visa processing by the embassy are beyond our control.
- Travel insurance is non-refundable once applied and carries a 100% cancellation charge.

Transfers
- If applicable, refunds for transfers will be processed as per the cancellation terms in your itinerary.
- Amounts may vary with international currency fluctuations.
